Terms of service

1. Description of service

CertNow provides a platform for UK landlords to store and manage property compliance certificates (Gas Safety, EICR, EPC, etc.), receive automated expiry reminders, book Gas Safe registered engineers for inspections and certifications, and share certificates securely with tenants via generated links.

2. Account registration

Users must provide accurate, current, and complete information during registration. Account holders agree to maintain security of their password, accept responsibility for all account activities, and notify CertNow immediately of any unauthorised access.

3. Free service & commission model

The service operates at no cost to users — there are no subscription fees or charges for storing certificates, managing properties, or receiving expiry reminders. CertNow receives commissions from engineers or service providers, but this arrangement does not affect customer pricing.

4. Engineer bookings

4.1 Third-party services

Engineers are independent third-party providers. While CertNow verifies Gas Safe registration, the company does not guarantee quality, safety, or legality of third-party services.

4.2 Your responsibilities

Users must provide accurate property access information, ensure occupancy during scheduled visits, pay engineers directly, and verify Gas Safe registration independently.

4.3 Cancellations

Individual engineers establish cancellation policies that users should review before booking confirmation.

5. Certificate storage

Users retain ownership of uploaded certificates. By uploading, users grant us a limited licence to store, display, and transmit your certificates as necessary to provide the Service. CertNow implements reasonable security measures but cannot guarantee absolute security; users should maintain backup copies.

6. Sharing certificates

Generated share links become accessible to anyone possessing the link. Share links expire after 30 days by default. Users control link distribution.

7. Acceptable use

Users cannot use the service for unlawful purposes, upload false or fraudulent certificates, impersonate others, interfere with service operations, attempt unauthorised access, or use automated systems without permission.

8. Intellectual property

CertNow Digital Ltd owns the service and its original content, features, and functionality, protected by international copyright and trademark laws.

9. Disclaimer of warranties

The service is provided on an “AS IS” and “AS AVAILABLE” basis. CertNow makes no warranties regarding service operation, content accuracy, third-party service quality, or fitness for specific requirements.

10. Limitation of liability

CertNow bears no liability for indirect, incidental, special, consequential, or punitive damages, including lost profits, data loss, property damage, or personal injury from third-party services. Total liability shall not exceed amounts paid within the preceding 12 months (potentially zero for free-tier users).

11. Indemnification

Users agree to indemnify and hold harmless CertNow Digital Ltd and its officers, directors, employees, and agents from any claims, damages, or expenses arising from your use of the Service or violation of these Terms.

12. Termination

CertNow may terminate or suspend accounts immediately for any breach. Users may request data export before closure.

13. Governing law

These terms follow England and Wales law without regard to conflict-of-law provisions. Disputes fall under exclusive jurisdiction of English and Welsh courts.

14. Changes to terms

CertNow reserves modification rights. We will notify users of significant changes via email or in-app notification. Continued use constitutes acceptance.
